You melt the wax once. One pot, one afternoon, one clean-up. Out of it come 40 candles — and when you sit down to price them, you clock the part you can see: three minutes to pour, cool, and label each jar. So you charge for three minutes of labor per candle and call it fair.
The 75 minutes you spent melting, prepping jars, wicking them, and scrubbing wax off everything afterward? That time vanished. It didn’t go into any candle’s price. It just came out of your day for free.
This is the quietest way makers lose money, and it has a name: batch setup cost. It’s the shared work that happens once per batch no matter how many items you make — and it belongs in every single item, not just the one you happened to be holding when the timer went off.

The math you’re skipping
Let’s put real numbers on that candle batch and pay ourselves an honest $20 an hour.
Say the per-item work — pour, label, set aside — is 3 minutes a candle. Forty candles, that’s 120 minutes. At $20/hr, that’s $1.00 of labor per candle. That’s the number most makers stop at.
Now add the setup: 45 minutes to melt the wax, measure fragrance, and wick the jars, plus 30 minutes to clean the pot, the pouring pitcher, and the bench. Call it 75 minutes of shared setup for the whole batch.
Total real labor for the batch: 75 + 120 = 195 minutes. Divide by 40 candles and each one carried 4.9 minutes of your time, not 3. At $20/hr that’s $1.63 per candle — about 63 cents more than you charged for.
Sixty-three cents doesn’t sound like a robbery. But it’s 62% more labor than you were counting, and across the batch it’s $25 of your time you gave away — every batch, every week, all season. Do that Thursday-night pour fifty times a year and you’ve quietly worked more than two full days for nothing.
Why small batches quietly cost the most
Here’s the part that surprises people, and it’s the whole reason this matters: setup cost per item depends on how many items you make.
The 75 minutes of setup is fixed. It doesn’t care whether you pour 40 candles or 4. So watch what happens when the batch shrinks.
Pour 40, and setup adds 1.9 minutes to each candle. Pour only 10 — a quick restock before a fair — and that same 75 minutes now splits ten ways: 7.5 minutes of setup per candle. Add the 3 minutes of pouring and you’re at 10.5 minutes, or $3.50 of labor for the exact same candle that cost $1.63 in the big batch.
Same wax. Same jar. Same product. More than double the labor cost — purely because the batch was small. If you price both candles the same (and almost everyone does), the small-batch restock is silently eating your margin while the big pour looks profitable. This is why "I’ll just make a few more real quick" is so often a losing move: the few-more never carry their share of the setup.

What this means for your fall build-out
Fall fair season opens on Labor Day, and right now makers all over the country are batching hard for Q4 — Halloween listings are already up, holiday stock lands in October. Two practical things fall straight out of the math:
Bigger batches genuinely lower your cost per item. Not by magic — by spreading that fixed setup over more units. If you’re building holiday stock anyway, pouring 60 at once instead of 20 three times isn’t just less tiring, it’s cheaper per candle in real labor. That’s a legitimate reason to batch big in September.
Watch the labor bombs. Advent calendars, "12 days of" kits, and variety sets are setup-heavy by design — lots of tiny fillers, each with its own little prep. They feel like one product but they hide a dozen mini-setups. Those are exactly the items people underprice, because the per-item work looks small and the setup stays invisible.
"But I make custom one-offs — I don’t batch"
Then setup isn’t a rounding error for you. It’s the whole game.
A one-off is a batch of one. That 75 minutes of prep and clean-up gets divided by a single item — so it lands entirely on that one piece. Your custom work should cost more per item than your batch work, not the same, and this is the math that proves why. When a customer balks at a custom price, you’re not overcharging. You’re finally charging for the setup that a batch would have let you share.
The fix isn’t to track every minute forever. You measure a product’s setup once — melt-and-clean for candles is remarkably stable — write it down, and let it ride on every batch after that.
